Project Specialist | Hazlitt Red Cat Cellars • Naples, NY

Job Overview:  The Project Specialist is responsible for supporting internal and external project operational activities including general daily operations, bulk sales, logistics, ingredients, inventory control, and reports. This role plays a central part in ensuring smooth, efficient, and cost-effective operations for both Hazlitt Red Cat Cellars and East Coast Crush and Co-Pack.

Full-Time (40+ hours/wk average)
Compensation: $20-$25 per hour

Essential Position Functions

Purchasing, Ingredients, and Inventory Control

  • Purchase supplies for Harvest, Cellars, Lab, and select Bottling and Warehouse operations
  • Receive, label, enter in Vintrace, and ensure delivered ingredients moved to identified storage location
  • Perform spot inventory checks and monthly inventory audits
  • Plan and lead year-end Ingredients inventory
  • Provide customers with requested Ingredient reports
  • Contact customers to resolve expiring ingredients and inactive dry and finished goods inventory; coordinate appropriate disposal or return to customer

Bulk Wine Sales

  • Collaborate with Marketing to raise awareness of available bulk wine
  • Proactively identify and engage new sales channels and customers
  • Maintain the Bulk Tracker
  • Fulfill sample requests and manage Bulk Purchase Agreements
  • Coordinate dispatch logistics with customers
  • Submit documentation to Accounting for invoicing

Samples Shipping

  • Receive, package, schedule shipping, and track samples including incoming bulk wine, customer protocol, lab analysis, bulk wine inquiries, quality, and customer ad hoc
  • Maintain orderly and clean Box Room and re-order supplies

Bulk Logistics

  • Ensure compliance with customer-specific delivery and load-out requirements
  • Schedule inbound and outbound bulk wine shipments, add to Vintrace Calendar, notify Cellars
  • Prepare and manage required transportation documentation
  • Serve as Scale Master
  • Complete and send bulk intake reports to customers

Record Keeping and Reporting

  • In Vintrace, enter and update operational and project-specific production information
  • Update and maintain customer-specific trackers
  • Provide customers with requested reports daily, weekly, and monthly
  • Photocopy received documentation such as incoming bulk and ingredients documents, and disseminate to customers
  • Interact, as needed, with Warehouse and Packaging teams on behalf of customer projects

 All other duties as deemed necessary for the successful operation of the company.

 Qualifications:

  • Minimum 2-year degree in business, or related field
  • Proficiency with Microsoft Office (Excel and Word a must)
  • Data based management experience with meticulous data entry and proofreading skills, ensuring optimal data integrity and quality assurance
  • Excellent organizational skills
  • Superb writing and communication skills
  • Previous experience in a Manufacturing Environment preferred.
